How to Request FICA Documents Securely via Link
Collecting FICA documents via email attachments or WhatsApp photos is a major POPIA compliance risk. PropSign can structure the consent and information-capture part of the workflow through a token-gated signing link, even if your agency still collects supporting documents through a separate approved process.
Create a FICA or KYC intake template
Navigate to the 'Forms' section in your dashboard and use the Form Builder to create a standard FICA request. Add the structured fields you need the signer to complete, such as full name, ID details, residential address, source of funds, and consent checkboxes.
Generate and Send the Secure Link
Input your client's details and hit send. PropSign emails them a unique, token-gated link. Because no actual supporting documents are attached to the email, the initial request stays more controlled than sending ID copies around in inboxes or chat threads.
The Client Mobile Experience
Your client clicks the link on their phone, accepts the POPIA notice shown in the workflow, and completes the structured fields you asked for. No app download is required.
Review and follow up for supporting documents if needed
The completed FICA or KYC information appears in the PropSign workflow record. If your agency still needs supporting documents, request them through a separate approved channel and store them according to your own retention policy.
Tip
Use PropSign to capture consent and structured information, then keep any supporting-document step explicit in your agency process until a dedicated secure upload flow exists in the product.
