How Document Signing Works

Electronic signatures in South Africa are legally valid under the Electronic Communications and Transactions Act (ECTA). Here is exactly what happens when you use PropSign to get a document signed.

You create and send the document

You fill in the document template (or build your own), enter your client's name, email, and phone number, then click 'Send for Signing'. PropSign generates a unique secure link and emails it to your client.

Your client receives an email

The client gets a branded email from PropSign with your agency logo. It contains a button that says 'Review & Sign'. The link works on any phone, tablet, or computer — no app download needed.

The client reviews the document

PropSign shows the client a plain-English summary of the document — the key terms highlighted, so they actually understand what they are signing. This is the AI summary feature.

The client gives POPIA consent

Before signing, the client is shown a consent notice explaining how their personal information will be used and how long it will be kept. They must tick a box to confirm they understand. This is required by POPIA.

The client signs

The client draws their signature using their finger or mouse, or types their name. PropSign records the signature along with the time, date, IP address, and device used — this is your audit trail.

Both parties receive the signed copy

Immediately after signing, PropSign emails the completed document to both the client and your agency. You can also download it from your dashboard at any time.

Tip

PropSign audit trails meet ECTA requirements for advanced electronic signatures. Each signed document includes a timestamp, IP address, and a hash of the document to prove it has not been altered after signing.
