Data Retention: How Long PropSign Keeps Your Data
POPIA requires you to keep personal information only for as long as you need it. PropSign currently uses a short-lived signed-document retention workflow rather than a long-term archive, so agencies should export any records they need to keep elsewhere.
Signed records stay available for a short retention window
The current signed-document workflow keeps completed records available in PropSign for up to 72 hours after signing before they are deleted from the platform. This is designed for controlled delivery, not permanent record keeping.
Do not treat PropSign as your long-term archive
If your agency must retain transaction records for longer, download the signed PDF and store it in your own approved archive or agency record system. The live product does not currently behave like a configurable long-term retention vault.
Documents approaching deletion are flagged
PropSign flags records that are approaching their deletion window in the current document workflow. Download the PDF before the deletion date if you need to keep a copy.
Deletion is permanent
When a document reaches the end of its retention period, PropSign permanently and securely deletes it from all systems. This cannot be undone. Make sure you download copies of important documents before the deletion date.
What happens when you cancel your subscription
If you cancel your PropSign subscription, review the subscription messaging in-app and export any records you still need. Do not assume a separate long-term archive remains available once your access changes.

Download your most important signed documents and store copies in a separate system — a secure cloud folder or your agency management software. PropSign is a signing platform, not a long-term document archive.
