Data Retention: How Long PropSign Keeps Your Data

POPIA requires you to keep personal information only for as long as you need it. PropSign gives you control over how long data is kept and automatically deletes it when the retention period ends.

Default retention period: 7 years

By default, PropSign keeps signed documents and associated client personal information for 7 years from the date of signing. This aligns with the general South African legal requirement to retain property transaction records.

You can change the retention period

Go to Dashboard → Settings → Data & Privacy. You can set a retention period between 1 and 10 years. This affects all new documents. Existing documents keep their original retention period.

Documents approaching deletion are flagged

PropSign automatically warns you in your Documents list when a signed document is within 60 days of its deletion date. Download the PDF before the deletion date if you need to keep a copy.

Deletion is permanent

When a document reaches the end of its retention period, PropSign permanently and securely deletes it from all systems. This cannot be undone. Make sure you download copies of important documents before the deletion date.

What happens when you cancel your subscription

If you cancel your PropSign subscription, you have 90 days to export and download all your documents. After 90 days, all data is deleted in accordance with your configured retention period.

Tip

Download your most important signed documents and store copies in a separate system — a secure cloud folder or your agency management software. PropSign is a signing platform, not a long-term document archive.
