Creating a Document Template
Templates are documents you reuse for different clients. Instead of typing the same thing every time, you build it once and fill in the client's details each time you send it. PropSign's form builder makes this easy — no technical knowledge needed.
Go to Forms in the dashboard
Log in and click 'Forms' in the left-hand menu. This is where all your document templates live. Click 'New Form' in the top right corner.
Give your template a name
Enter a name that will help you find it later, for example 'Sole Mandate — Residential Sales' or 'Rental Application'. This name is only visible to you and your agents — not to clients.
Add fields
Fields are the blanks you fill in for each client. Common fields include: Client Full Name, Client Email, Property Address, Monthly Rental, Lease Start Date, Lease End Date. Click 'Add Field', choose the field type (text, date, number, signature), and give it a label.
Mark required fields
Tick 'Required' on any field that must be completed before the document can be sent. For most mandates, all fields are required. For optional fields (like a second phone number), leave it unticked.
Add a signature field
Every document that needs signing must have at least one Signature field. Add it at the end of your form. You can add multiple signature fields if both buyer and seller need to sign.
Save the template
Click 'Save Template'. Your template is now ready to use. You will find it in your Forms list every time you want to send that type of document.
Tip
Start with one template — your most common document. Get comfortable with it before building more. Most agents start with their sole mandate or rental application.
